POSITION DESCRIPTION
The Herbert Wertheim College of Medicine is currently seeking a Senior Executive Assistant to join our team of professionals.
Duties include:
- Manages the Designated Institutional Official (DIO)'s calendar, including scheduling meetings, coordinating travel arrangements, preparing meeting agendas, recording minutes, and tracking follow-up action items.
- Organizes and maintains confidential files, records, and documentation for the Graduate Medical Education (GME) office.
- Serves as the primary point of contact for the DIO, managing communications with internal and external stakeholders.
- Oversees the preparation of reports and presentations for the DIO.
- Ensures timely communication of updates, policies, and directives to relevant parties.
- Assists with the preparation and coordination of reports and documentation for accrediting bodies (e.g., ACGME).
- Facilitates the planning and execution of GME-related events, including orientations, workshops, and recognition ceremonies.
- Manages the deadlines and schedules of the residency and fellowship program requirements to ensure compliance.
- Identifies opportunities to improve office operations and recommend process improvements.
- Manages office supplies and ensures the functionality of the GME office.
- Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
MINIMUM QUALIFICATIONS
- Bachelor's degree and four (4) years of office or related experience providing administrative support, or coordinating functions of an office or department; OR eight (8) years of office or related experience providing administrative support, or coordinating functions of an office or department; OR an equivalent combination of relevant education and/or experience.
