Part-Time Accountant

Part-Time Accountant (24 Hours/Week
Salary Range: $27,119 ($21.73/hr.) – 33,893 ($27.16/hr.)
March Start Date
Position Purpose: To provide accounting support to ensure accuracy and completeness in a variety of financial activities and to accurately report financial position of The Dayton Foundation.
Accounting and Financial Activities

Determine total earnings, total income and total fees charged by reviewing and reconciliation of checking accounts and assigned investment and funding accounts. Submits reconciliation to Chief Accountant for review.

Assures accuracy and completeness of account statements received from investment managers and assigned supporting org. by performing monthly and quarterly reconciliations.

Assists with filing of TDF tax returns and other required financial documents.

Facilitates year-end tax reporting by requesting from vendors, on a monthly basis, completion of Form W-9; prepares and mails out 1099 forms on annual basis as needed.

Serves as backup to Senior Staff Accountant for contribution entry and processing and other duties as needed
Accounts Payable
-
Ensures prompt and proper payment of invoices by reviewing invoices for due dates, account numbers and proper approvals.

Improves cash position of the Foundation by monitoring invoice payment dates; avoiding early and late payments.

Generates checks by entering accounts payable data into computer database; matches checks with respective invoices and obtains required signatures before mailing or delivering checks.

Maintains accurate and accessible file of paid invoices.

Meets the needs of the organization by responding to special check requests, when required.
Grants Processing

Ensures timely and accurate processing of grant checks by creating authorization report, generating grant checks, and forwarding checks to appropriate department for distribution.

Verifies account balances before generating grant checks; takes appropriate action to ensure adequacy of funds before proceeding with checks.
Audit Activities

Assists with data gathering in preparation for audit.

Minimizes or eliminates audit adjustments by providing information and reports critical to completion of the audit.
Payroll
Serves as a back-up to ensure accurate and timely processing of Foundation payroll by reviewing and entering data from timesheets, transmitting data to payroll vendor for processing.

When processing payroll, posts payroll-related entries to general ledger; calculates and processes premium payments for TDF Workers’ Compensation policy; processes checks for 403(b) and other miscellaneous withholdings from employees’ pay.
Administrative Support

Maintains and files in appropriate folders paid invoices, investment and checking account reconciliations.

Maintains master list of all departmental files for retention and storage and follows record destruction procedures to remove and discard outdated files.
Position Qualification Requirements:
Education and Work Experience
Bachelor’s degree in Accounting and one (1) to three (3) years hands-on accounting OR
Any equivalent combination of education and experience that provides the required knowledge, skills and abilities.
Knowledge and Skills

Good knowledge of accounting principles, including knowledge of GAAP, financial statements, and fund accounting

Proficiency in creating and maintaining spreadsheets, using Excel or equivalent software

Basic knowledge of finance and investment practices

Basic knowledge of payroll administration and wage and hour guidelines
-
Sensitivity to legally imposed and organizationally imposed deadlines
-
Highly detail-oriented
-
Ability to operate most standard office equipment
High level of interpersonal communication skills to handle sensitive and confidential situations and documentation and ability to maintain a high level of confidentiality
